The following outlines policies for online courses, student enrollment, faculty and guest enrollment, faculty development and training expectations, technical support services, and hardware and software requirements.

Proposal Process

New online courses or programs (after Summer 2008) must be approved by the SCPS Dean's office. The following information is offered only as a resource for programs which currently have approval to offer online courses. A proposal form is available for administrators at: http://distancelearning.scps.nyu.edu/proposal.html

Courses

Each semester SCPS Distance Learning will contact those program directors offering courses online to complete a spreadsheet that identifies each online course, the faculty for each course, start and end dates, and faculty contact information.

All online courses are created automatically based on SIS and FAS data.  Programs should make certain that the following course information is correct to ensure successful creation of their online courses.

  • Site Code - For an SCPS course to be considered an online course it must be listed in SIS with a site code of DL or DP. Courses that are not listed with this site code will be activated in the NYU SCPS ONLINE system. The site code DO should be used for online courses that do not use NYU SCPS Online.
  • Start and End Dates - An online course must have a start and end date identified in SIS. If both start and end dates are not identified students will NOT be enrolled into their online courses.
  • Cross-listed Courses - Only one online course shell will be created for cross-listed courses. Specifically, the parent course identified in SIS in the SPNSID field will be created in NYU SCPS ONLINE.
  • Faculty - Faculty must be appointed and verified in FAS to be enrolled in their online courses. Faculty must have a NYU ID and NetID. All email correspondence with faculty will we sent to their NYU email account. Faculty must activate their email accounts and use those accounts when communicating with NYU SCPS Distance Learning and their students.

Student Enrollment

Students - Students must be registered in SIS to be enrolled in a course. Manual enrollments of students will not be permitted.  At the time of registration, all students must have either an nyu.edu email address or a personal email address identified in their SIS student record. Student enrollment data will be processed at 5:30am and 5:30pm. All students are enrolled in their online courses five business days prior to the course start date that is listed in SIS. After the course start date, students will be enrolled into their online course within 24 hours of registering.  Similarly, after the course start date, any student drops will be processed within 24 hours.

Students will continue to have access to the online course after the course end date, however with limited capability. For example, forums and drop boxes cannot be modified.

Student Orientation

Students will be enrolled in an online student orientation course ( SCPSDL00.0) on August 14, 2009 for the fall 2009 semester. Students will receive the course enrollment letter and the new user letter at this time. The letter will be sent by Epsilen. Advise students to look for email from Epsilen beginning August 14, 2009 for fall courses. See sample letters below:

Faculty, Guest, and Audit Enrollment

For faculty to have access to their online courses they must be area approved, locked, and verified in the Faculty Appointment System (FAS). If they are not area approved, locked, and verified or if they are pending in FAS they will not have access to their online courses. When faculty are area approved, locked and verified in FAS, they will have access to their online course within 24 hours.

Guests - Faculty have the ability to invite others as guests into their course. Guests do not need to have NYU netids.

Faculty and guests will continue to have access to the online course after the course end date, however with limited capability. For example, forums and drop boxes cannot be modified.

Audits - Students requesting to audit an SCPS online course should:

1. Obtain approve from their SCPS credit or continuing education program for approval
2. Division administrators can fax their department approval form with student information to SCPS Distance Learning at (212) 995-4138, Attention Vladimir Merisca.
3. Student will receive an email from Epsilen with their login account info and course invitation within 48 hours of the fax.

Faculty Development and Training

Faculty Development Program - Faculty hired to teach online for SCPS are required to register, attend, and participate in the Faculty Development Program which consists of 6 workshops for a total commitment of 8.5 hours. The workshops will be taught by the full-time SCPS Distance Learning Educational Technologist. The workshop schedule can always be accessed from our web site: http://distancelearning.scps.nyu.edu

Individual Consultations - The SCPS Distance Learning staff will reach out to all faculty members teaching online. Please ensure that the faculty contact information (phone and email) provided to SCPS Distance Learning is correct. Technical Support

Help Desk - SCPS Distance Learning provides faculty and students with technical support 24/7 through the services of the ITT Corporation. The help desk is accessible via email or telephone.

Synchronous courses – To reduce the faculty burden of troubleshooting student technical issues in their online synchronous courses, SCPS Distance Learning has a full-time technical aide available onsite from 11am to 7pm EST. Faculty can refer those students having difficulty to the technical aide.

Hardware and Software

SCPS Distance Learning does not provide faculty with a computer, headset, video camera, or any software necessary to teach their online courses.  SCPS has discontinued the distribution of headsets for online faculty and students. Refer to the list of technical requirements for supported hardware, operating systems, and browsers.
